A strong first two weeks sets the tone for the entire working relationship. Employers who onboard well tend to retain VAs longer and get up to speed faster — here's what that actually looks like.

Before Day One

Have access set up in advance — email, shared drives, project management tools, and any credentials they'll need — using a password manager for secure sharing rather than sending plaintext logins. Nothing stalls a new VA's first day like waiting hours for access to the tools they need to actually start.

Document Your Processes, Don't Just Explain Them Once

A short onboarding doc (even a simple Google Doc) covering how you like communication handled, your preferred tools, your typical daily/weekly rhythm, and where key resources live saves enormous back-and-forth in the first few weeks — and becomes reusable if you ever hire a second VA.

Set Clear, Specific First-Week Goals

Rather than a vague "get settled in," give a new VA 2-3 concrete, achievable tasks for their first week. This gives them an early confidence win and gives you an early, low-stakes read on how they work.

Establish Your Communication Rhythm Early

Decide upfront: how often do you want updates (daily check-in message, weekly summary)? What's the expected response time during their working hours? What counts as urgent vs. can wait? Filipino VAs, coming from a culture that often defers heavily to client preference, may not push back on unclear expectations even if they're struggling — so being explicit protects both sides.

Give Feedback Early, Not Just at Review Time

If something's off in week one, say so directly and kindly rather than waiting a month to raise it. Most VAs would rather adjust course immediately than find out later that something's been wrong the whole time.
