The quality of applicants you get is directly shaped by the quality of your job post. Vague, generic listings attract vague, generic applicants — and get skipped entirely by the experienced VAs you actually want. Here's how to write one that works.
"Looking for a rockstar VA to join our team!" tells a skilled candidate nothing and signals a disorganized hire. Instead, lead with the actual role: "Customer support VA for a US-based e-commerce brand, managing order inquiries and returns via Zendesk, 25 hrs/week, EST hours." Specific posts get read by people who are actually qualified for exactly that work.
"Social media management" is a category. "Scheduling and posting 5x/week on Instagram and Facebook using Meta Business Suite, plus responding to comments and DMs within 24 hours" is a job. Experienced VAs skim for concrete tools and tasks to judge fit — the more specific you are, the better your match rate.
Job posts without any compensation information get fewer applications from experienced candidates, who've learned that vague-on-pay listings are often vague on everything else. A stated range (even a wide one) filters for candidates whose expectations already align with your budget, saving both sides time.
State the exact overlap you need, not just "flexible hours" — flexible from whose perspective? "Must be available 8am-12pm EST daily" is unambiguous. This single detail prevents a huge share of mismatched applications and early contract failures.
A long, multi-step application process before any human contact filters out strong candidates who have other active opportunities. A simple resume + short cover note, reviewed quickly, gets you further with in-demand talent than a lengthy form.
