About the role

NDIS Virtual Assistant (NDIS VA)
Position Overview
We are seeking a highly organized and detail-oriented NDIS Virtual Assistant to support the day-to-day administrative operations of an Australian disability services provider. The ideal candidate will have experience working with NDIS participants, support coordinators, and healthcare teams, ensuring accurate documentation, scheduling, compliance, and client support.
Key Responsibilities
NDIS Administration
  • Manage participant records and maintain accurate documentation.
  • Assist with NDIS service bookings and funding tracking.
  • Prepare and process service agreements, progress notes, and reports.
  • Monitor participant budgets and support utilization tracking.
  • Ensure compliance with NDIS guidelines and documentation requirements.
Client & Stakeholder Support
  • Serve as a point of contact for participants, families, support coordinators, and providers.
  • Respond to inquiries via phone, email, and messaging platforms.
  • Coordinate appointments, meetings, and support services.
  • Follow up on participant requests and service-related concerns.
Scheduling & Coordination
  • Manage staff and participant schedules.
  • Coordinate support worker shifts and service delivery requirements.
  • Assist with rostering and appointment confirmations.
Data Management & Reporting
  • Maintain CRM and NDIS management systems.
  • Perform data entry with a high level of accuracy.
  • Generate reports related to participant services, funding, and operational activities.
  • Assist in preparing documentation for audits and compliance reviews.
Qualifications & Experience
  • Minimum 1-2 years of experience as an NDIS Virtual Assistant, NDIS Administrator, or similar role.
  • Strong understanding of the National Disability Insurance Scheme (NDIS).
  • Experience with NDIS software platforms such as Brevity, CareMaster, ShiftCare, Lumary, or similar systems.
  • Excellent verbal and written English communication skills.
  • Strong organizational and time management abilities.
  • High attention to detail and ability to handle confidential information.
  • Proficiency in Microsoft Office Suite and Google Workspace.
Preferred Qualifications
  • Experience working with Australian healthcare, disability, or community services providers.
  • Knowledge of NDIS funding categories, service agreements, and participant plans.
  • Experience supporting Support Coordinators, Plan Managers, or Allied Health teams.
