HIRING: BEHAVIORAL HEALTH BACK-OFFICE VA – US Account
100% WFH / Remote
Behavioral Health / Psychotherapy Practice
NON-PATIENT-FACING / NON-VOICE ROLE
MUST HAVE:
Hands-on ICANotes experience — REQUIRED
Hands-on ICANotes electronic billing experience — REQUIRED
Experience reviewing clinical notes/documentation for completeness
Able to identify missing or incomplete information before it affects billing
Experience with insurance payment follow-up, aging reports, or medical/behavioral health billing
Strong written English for internal communication
Highly detail-oriented and organized
Able to work independently with minimal supervision
Comfortable handling confidential behavioral health information
WHAT YOU’LL DO:
Send online consent forms and monitor completion
Review ICANotes progress notes to confirm all BIRP elements are present: Behavior, Intervention, Response, Plan
Identify incomplete or unsigned notes and message therapists through GoHighLevel
Pull ICANotes reports to identify missing or aging insurance payments, including 60+ day outstanding payments
Submit electronic billing through ICANotes
Scan documents and create/set up client charts in ICANotes
Maintain the GoHighLevel calendar synced with the practice’s master Google Calendar
Maintain accurate and organized client records
Handle sensitive behavioral health information with strict confidentiality
PREFERRED:
GoHighLevel experience for messaging, CRM, or calendar management
Google Calendar experience
Previous experience supporting a small or solo behavioral health practice
Familiarity with BIRP documentation
Behavioral health billing experience

ICANotes electronic billing experience is a key requirement.
Candidates who have only used ICANotes for charting or documentation but have NOT performed electronic billing through ICANotes may not be a fit.
Rate/offer determined based on experience and interview performance
