Responsibilities/Tasks:
Must-Have Experience (Responsibilities You Must Be Proficient In):
These are the tasks the VA needs to handle independently and confidently from day one:
Tailored Investor Materials:
Customize pitch decks, one-pagers, and other sales materials for specific investors or audiences using Canva and PowerPoint.
Edit short-form investment videos for the data room (the secure online folder where investors review fund documents) and LinkedIn, and draft scripts from talking points (videos are handed to the Executive Assistant for posting).
Keep the investor due diligence questionnaire (DDQ) updated with approved answers, and flag new questions for the team.
Keep all sales materials organized and up to date with the latest versions, and send external-facing materials for compliance review before use.
CRM and Sales Admin (Experience with HubSpot or any other CRM is helpful and nice to have, but not required):
Keep HubSpot clean and up to date: contact and company records, deal stages, duplicate records, and pipeline tracking.
Log meeting notes and next steps in HubSpot within 24 hours of each meeting.
Draft meeting follow-up and next-step emails for the sales team to review, and send approved template follow-ups.
Check investor activity in the DocSend data room, note actively engaged investors in the CRM, and let the sales team know. Experience with DocSend is helpful and nice to have, but not required.
Build and update targeted contact lists for outreach campaigns.
Prepare a weekly pipeline summary for the CRO.
Meeting and Event Preparation:
Prepare background briefs on potential investors (called LPs, or limited partners) ahead of meetings.
Draft meeting agendas and gather the right materials for each meeting.
Prepare briefs on who is attending conferences and events, including priority contacts.
After events, organize follow-up lists, assign who follows up with whom, and update the CRM.
Research and Investor Intelligence:
Research potential investors: how much money they manage (AUM), what they’ve invested in before, and who makes their investment decisions.
Build lists of investors to meet in upcoming sales-trip cities for the sales team and Executive Assistant to schedule.
Nice-to-Have Experience (Responsibilities You Can Learn Over Time):
These tasks are valuable but can be trained on the job:

Support special projects such as webinar production and partner collaborations.
Other projects as assigned by the sales team.
