Be a part of our journey as we shape the future of work!\nHours: Full-Time | 9:00 AM – 6:00 PM EST\n\nJob Overview:\nWe are looking for a Procurement Specialist to support a US-based architecture and interior design studio. This is a procurement-first role. Most of your day is spent sourcing from vendors, issuing purchase orders, and tracking orders through to delivery, alongside client invoicing and payment follow-ups.\nPlease note: this role requires hands-on purchasing or procurement experience. If you have not personally requested quotes, issued purchase orders, or coordinated with suppliers before, this will not be the right fit.\nYou will also provide executive and sales support in the afternoons, including scheduling, travel coordination, and keeping CRM records up to date.\n\nKey Responsibilities:\nPurchasing and Vendor Coordination (main focus)\nRequest and organize vendor quotes\nEvaluate quotations and negotiate pricing where appropriate\nPrepare purchase orders and follow up with suppliers on order status\nTrack deliveries and installation dates, and flag delays early\nKeep purchasing records and budget trackers up to date\n\nClient Invoicing and Payment Follow-Up (second focus)\nPrepare and send monthly client invoices (training provided on QuickBooks)\nTrack which invoices are paid and which are outstanding\nSend payment reminders and follow up on overdue accounts\n\nExecutive and Sales Support\nBook and coordinate travel, including flights, accommodations, and itineraries\nKeep CRM records updated and log outreach activity\nSchedule calls and help with follow-ups\n\nYou’ll also help with light admin such as keeping files organized and occasional content coordination. Training is provided for these.\n\nQualifications:\nHands-on experience in procurement, purchasing, or vendor coordination is required.
