Live How You Want is a growing travel and entertainment company that provides festival travel packages, hotel accommodations, transportation, nightlife experiences, and group travel services.
As our business continues to grow, we are looking for a reliable and highly organized part-time bookkeeper to help clean up, maintain, and improve our financial records.
This role will work closely with our CEO and fractional CFO. Our fractional CFO will review and analyze the company’s financial information but will not make changes inside QuickBooks. The bookkeeper will be responsible for maintaining accurate records and ensuring that the financial information is organized and ready for review.
Position Overview
We are seeking a detail-oriented remote bookkeeper who is experienced with QuickBooks Online, Excel, bank reconciliations, transaction categorization, and financial record organization.
This will initially be a part-time position requiring approximately 3-5 hours per week. Hours may increase as the company grows and as financial processes become more organized.
We are open to candidates based in the Philippines who are comfortable working remotely and communicating with a United States-based team.
Core Responsibilities
QuickBooks Management
• Review, organize, and maintain QuickBooks Online.
• Categorize bank and credit card transactions accurately.
• Reconcile all bank accounts and credit card accounts.
• Clean up duplicate, incorrect, or uncategorized transactions.
• Maintain an organized chart of accounts.
• Ensure transactions are assigned to the correct event, business division, vendor, or expense category.
• Identify missing transactions, receipts, invoices, or supporting documentation.
• Assist with the monthly financial close.
Income and Payment Tracking
• Track incoming customer payments.
• Review deposits and confirm that they match sales records.
• Maintain spreadsheets showing expected future customer payments.
• Track payment plans, outstanding balances, failed payments, and upcoming collections.
• Compare expected payments against amounts received.
• Identify discrepancies between QuickBooks, bank deposits, payment processors, and internal spreadsheets.
Expense and Vendor Tracking
• Track vendor invoices and payment schedules.
• Maintain records of upcoming hotel, transportation, contractor, marketing, and event-related payments.
• Organize recurring monthly business expenses.
• Track accounts payable and upcoming financial obligations.
• Flag duplicate payments, unusual charges, unexpected fees, or overdue invoices.
• Maintain accurate vendor records.
Event and Business Division Tracking
• Track revenue and expenses by event and business division.
• Help maintain separate reporting for festivals, hotel packages, transportation, nightlife events, and other business activities.
• Organize event-related expenses such as hotels, buses, staffing, marketing, supplies, alcohol, entertainment, and contractor payments.
• Assist with preparing accurate profit-and-loss information for each event.
• Maintain event expense and revenue spreadsheets when needed.
Reporting and Financial Organization
• Prepare organized weekly or monthly summaries for the CEO and fractional CFO.
• Provide updated accounts receivable and accounts payable reports.
• Maintain upcoming payment and cash obligation schedules.
• Ensure QuickBooks and internal Excel or Google Sheets records remain consistent.
• Assist the fractional CFO with gathering financial information and answering questions.
• Report errors, missing information, or financial concerns promptly.
Important Role Structure
The bookkeeper will be responsible for entering, organizing, correcting, and maintaining financial information.
The fractional CFO will have view-only access to QuickBooks and will review the financial information for forecasting, budgeting, analysis, and strategic planning.
The bookkeeper will not independently approve large payments, move company funds, or make major financial decisions. All payments and major decisions must be approved by the CEO.
Required Qualifications
• Experience using QuickBooks Online.
• Strong knowledge of bookkeeping and bank reconciliations.
• Experience managing accounts payable and accounts receivable.
• Strong Microsoft Excel or Google Sheets skills.
• Experience organizing financial records for a United States-based company.
• Strong attention to detail and accuracy.
• Ability to identify discrepancies and resolve bookkeeping issues.
• Strong written English communication skills.
• Ability to work independently and meet deadlines.
• Reliable internet connection and availability for remote meetings.
Preferred Qualifications
• Previous experience supporting a fractional CFO, controller, or finance manager.
• Experience with travel, hospitality, entertainment, events, or e-commerce businesses.
• Experience tracking multiple events, projects, departments, or business divisions.
• Experience with payment processors and customer payment plans.
• Experience cleaning up disorganized QuickBooks accounts.
• Familiarity with contractor payments and 1099 documentation.
• Experience working with U.S. bank accounts, credit cards, and accounting procedures.
Hours and Schedule
• Approximately 3-5 hours per week initially.
• Flexible remote schedule.
• Must be available for occasional meetings during United States business hours.
• Hours may increase as the company grows or during major event periods.
