About the role
This is not a passive administrative role; we are seeking a top-tier Medical/Healthcare Virtual Assistant to serve as the clinic's core operational engine. Managing a high volume of incoming patient inquiries and coordinating schedules across multiple medical stakeholders requires someone who is exceptionally sharp, detail-oriented, and highly responsive.
Hours: Full-time (40 hours per week) / Part-Time (20 hours per week)
Shift: 09:00 AM to 6:00 PM UK time
Salary: 45,000 – 60,000 PHP/Monthly (For Full-Time)
The ideal candidate possesses an intuitive professional drive — someone who actively seeks out ways to tidy systems, organize data, and improve business efficiency during naturally quieter periods rather than waiting for direct instructions.
Key Responsibilities:
Patient Inquiry & Stakeholder Coordination: manage a high volume of incoming clients and patient inquiries across multiple communication channels, efficiently triage and allocate patient cases to the appropriate therapists and doctors, track the end-to-end progress of every inquiry
Clinic Administration: manage executive email inboxes and handle all client correspondence with discretion, draft formal medical and administrative correspondence using established letter templates, manage incoming and outgoing phone calls with elite customer service etiquette
CRM, Data, & Systems Maintenance: maintain and update the clinic's CRM system, manage complex Excel tracking spreadsheets, collaborate with internal IT support to keep data pipelines optimized
Proactive Operational Support: use lower-workload periods independently to organize digital records, identify pending administrative gaps, and implement data-tidying workflows
Candidate Requirements (Essential):
Outstanding written and verbal English skills paired with an exceptional, professional phone manner
A self-motivated mindset with a proven track record of solving problems independently
Elite attention to detail and organizational skills, with the capacity to manage multiple moving parts simultaneously
Comfortable navigating robust CRM platforms and managing detailed data structures within Excel
A stable employment history that demonstrates a commitment to long-term career growth
Preferred (Desirable):
Prior experience in healthcare, medical, or premium clinic administration
A strong background as an Executive Assistant or Operations Specialist within a premium, service-based business environment
Demonstrated experience coordinating calendars and appointments across multiple independent stakeholders
