About the role
XPRTS is a modern cloud-based US law firm seeking a detail-oriented, tech-savvy Legal Assistant to join their fully remote team. This role is a hybrid of high-level legal drafting and critical administrative operations supporting Estate Planning and Probate matters.
Key Responsibilities — Legal Drafting & Document Production: navigate the WealthCounsel ecosystem to draft comprehensive estate planning packages including Wills, Revocable Living Trusts, Powers of Attorney, Healthcare Directives, and Trust Funding documents, review attorney consultation notes and design summaries to accurately input client plan selections into drafting software, and draft and compile routine probate court documents, petitions, inventory forms, and accountings for attorney review.
Key Responsibilities — Case Management & Legal Tech: manage the client intake pipeline in Lawmatics, build and maintain custom intake forms, appointment reminders, and automated document workflows, and maintain meticulous digital client files and update matter statuses across the digital workspace.
Key Responsibilities — Administrative & Inbox Support: act as a gatekeeper for firm email inboxes sorting and routing correspondence, execute identity verification protocols for new clients and ensure all onboarding documentation is fully signed, and proactively follow up with clients for missing information and coordinate signing appointments.
Requirements: Juris Doctor (J.D.) degree strongly preferred (will consider highly qualified paralegals or foreign-trained attorneys with equivalent US law firm experience), minimum 1 year of hands-on experience within a US-based Estate Planning and Probate practice group, proficiency in WealthCounsel (non-negotiable — must know how to navigate interview screens and document assembly), proficiency in Lawmatics (experience with CRM automation, custom forms, and pipeline stages). Preferred: direct experience with Ohio-based law firms and familiarity with Ohio probate court forms and estate tax conventions.
Technical Requirements: Intel Core i5 processor or higher, dedicated noise-canceling headset or microphone, high-speed internet with at least 50 Mbps stable connection, reliable backup power supply (UPS/generator), and a backup internet solution to guarantee uninterrupted workflow during outages.
